# DONNA Real Estate Onboarding Checklist

Use this checklist before your DONNA setup session. Bring only information your business is authorized to use.

## 1. Account and team

- [ ] Name the person who will own the DONNA account.
- [ ] List each teammate who needs a separate seat.
- [ ] Note each person's role and the workflows they are responsible for.
- [ ] Confirm the primary business name, contact, timezone, and working hours.

## 2. Tools and communication

- [ ] List the email and calendar systems your team uses.
- [ ] List your CRM, transaction-management platform, and document storage tools.
- [ ] List your approved phone, SMS, meeting, and team-chat channels.
- [ ] Identify which connections are essential for the first setup phase.

Specific integrations depend on the platform, available credentials and APIs, connector health, permissions, and the current DONNA deployment. Confirm support during onboarding.

## 3. Business knowledge

- [ ] Gather current templates and approved customer messages.
- [ ] Gather transaction checklists, procedures, FAQs, and escalation paths.
- [ ] List preferred lenders, escrow officers, title providers, inspectors, and other vendors.
- [ ] Remove obsolete, duplicated, or unauthorized material.
- [ ] Identify the source of truth when two documents conflict.

## 4. Communication and brand preferences

- [ ] Describe the tone your business uses with clients and partners.
- [ ] Add words, claims, or phrases DONNA should avoid.
- [ ] Note preferred response times and communication channels.
- [ ] Identify messages that always require a person's review.

## 5. Permission boundaries

- [ ] List actions DONNA may only draft or recommend.
- [ ] List defined low-risk actions DONNA may complete when configured.
- [ ] List decisions that always require approval.
- [ ] List actions DONNA should never perform automatically.
- [ ] Confirm who reviews exceptions and sensitive situations.

## 6. Test scenarios

Prepare three realistic examples using non-sensitive or approved test data:

- [ ] A new lead that needs a response and follow-up.
- [ ] A transaction deadline or outstanding document that needs attention.
- [ ] A customer message that must follow an approved template and brand voice.

For each test, confirm the source information, intended recipient, expected result, approval requirement, and person responsible for checking the outcome.

## 7. Before expanding

- [ ] Review the context DONNA used.
- [ ] Confirm recipients and permissions.
- [ ] Check the result against your current procedure.
- [ ] Correct the underlying knowledge or rule when an outcome is wrong.
- [ ] Expand to another workflow only after the current one behaves as expected.
